Keep one source of truth for the brief

Choose a working language for each project brief and provide a short summary in the other language when the team needs it. Avoid maintaining two independent task lists that slowly diverge. Keep the project name, owner and deliverable consistent across conversations. A short glossary for product names and recurring terms prevents needless reinterpretation.

Write dates and time zones explicitly

“Tomorrow morning” depends on when and where someone reads it. Use a date, a time when necessary, and a time zone for meetings or timed handoffs. When people use different calendars, confirm the same intended day rather than assuming a numeric date is unambiguous. Recheck meeting invitations after a schedule change.

Separate discussion from the final decision

Let discussion happen naturally, then summarize the decision in plain language: what changed, who owns the next step and when it is due. Attach that summary to the task or shared document. A teammate joining later should be able to act without reading a long multilingual chat history. Ask for confirmation when a decision changes scope or responsibility.

Make asynchronous updates easy to scan

Use a repeatable update: completed, next, blocked. Link to the relevant task instead of copying its full history. Use a short clip when a visual explanation is easier, and add a written summary so the essential action stays searchable and readable. Choose a meeting when the team needs a live decision, not simply to repeat status updates.

Choose a workspace people can use comfortably

Test the actual interface with the people who will use it. Check Persian text direction, mixed-language titles, navigation, task comments and small-screen readability. Tavano provides Persian and English interfaces and brings tasks, chat, documents and meetings into the same workspace. Those tools support a shared practice; clear writing and ownership still come from the team.
