1. Write the outcome before the task list
“Improve the website” is an ambition. “Publish the approved service page, test its contact form and check it on mobile” is a deliverable. Write one sentence describing the result, its audience and how the team will know it is ready. Keep exclusions visible too: a service-page update does not automatically include a new checkout.
2. Give each task a clear owner
Break the deliverable into work small enough for one person to move forward. Use a verb and an object: draft the page copy, review the design, test the form. Assign an owner even when several people contribute. The owner coordinates the next action; a separate reviewer can decide whether the result meets the agreed criteria.
3. Make the order of work visible
A due date does not explain what a task is waiting for. Record prerequisites in the task description or checklist. Design needs an agreed brief; final testing needs a working page. If a prerequisite changes, revisit the affected dates with the owners. A simple note about a blocker is more useful than a confident date nobody can meet.
Example: a small website launch
Create five tasks: agree the brief, write the copy, build the page, review accessibility and mobile behavior, then publish. Put the brief and reference files with the work. Add acceptance criteria to the review task: readable text, working links, a successful form submission and a clear error state. This is an illustrative plan; the owners and dates should come from your team’s actual capacity.
4. Review decisions, not just percentages
In a weekly review, ask what moved, what is blocked and what needs a decision. Update owners and dates while everyone shares the context. Keep the decision with the related task so the next person does not have to reconstruct a conversation. In Tavano, List and Kanban show the same tasks; comments, files and subtasks stay with the work as it moves.
Your starting checklist
- A specific deliverable and a clear definition of done
- One accountable owner per task
- Visible prerequisites and realistic dates
- A regular review focused on blockers and decisions
